Privacy Policy

Effective date: December 28th, 2025

This Privacy Policy explains how Kitcodes (“kitcod.es”, “we”, “us”) collects, uses, and protects information when you use our website, verification tool, and documentation (“Services”).

What we do

kitcod.es helps users identify football shirts using product codes. To improve coverage and accuracy over time, we log certain interactions (like lookups that don't match) and accept user feedback/suggestions.

Information we collect

1) Verification lookups and tool usage

When you use the verification tool, we may store:

  • The product code you entered (typically stored in normalized form).
  • The brand you selected (and any other fields the tool requires at the time).
  • The result category (e.g., match found, multiple matches, not found, "did you mean").
  • Basic usage metadata to improve reliability and prevent abuse (see "Technical data" below).

We use this data to: (a) return your lookup result, (b) identify missing/incorrect entries, and (c) improve the database over time. Lookups that do not match are especially useful as potential leads for missing kits.

2) Feedback and suggestions

If you submit feedback (e.g., a correction, missing team/brand, bug report, or feature request), we may collect:

  • The content of your message.
  • The feedback type/category you select.
  • Any information you voluntarily include (e.g., links, screenshots, product codes).

3) Technical data

Like most websites, our servers may automatically receive and store limited technical information such as:

  • IP address (or a shortened/anonymized form where feasible).
  • Browser type, device type, operating system.
  • Approximate timestamps, pages visited, and request diagnostics (for security/performance).

4) Cookies and analytics (if enabled)

We may use essential cookies for basic site functionality (e.g., security, load balancing). If we use analytics, they are used to understand aggregate usage (e.g., which pages are popular) and to improve the Service.

Google Analytics

We use Google Analytics to better understand how visitors use kitcod.es and to help us improve the website and its features. Google Analytics collects anonymized, aggregated data such as pages visited, time spent on the site, device and browser information, and general geographic region. This data does not allow us to personally identify individual users.

Google Analytics may use cookies or similar technologies to collect this information. We use these insights solely to analyze usage patterns, improve performance, and enhance the overall user experience. You can learn more about how Google processes data by visiting Google's privacy policy, and you may opt out of Google Analytics tracking through browser settings or Google's opt-out tools where available.

Information we do not intentionally collect

  • We do not require an account and generally do not ask for your name, address, or payment information.
  • We do not intentionally collect sensitive personal data (e.g., health, biometrics).
  • We do not publish a full public dump of our product code database.

How we use your information

  • To operate the Services and return lookup results.
  • To improve database coverage and accuracy (e.g., by reviewing unmatched searches and suggestions).
  • To maintain security, prevent abuse, and troubleshoot issues.
  • To respond to feedback or support requests (if you provide contact details).

Legal basis (EEA/UK users)

If you are in the EEA/UK, we process information under one or more of the following bases:

  • Legitimate interests (running and improving the Service; preventing fraud/abuse).
  • Consent (where required for non-essential cookies/analytics).
  • Performance of a contract (providing the Service you request, such as a lookup).

Sharing and disclosure

We do not sell your personal data. We may share limited information only when necessary:

  • Service providers (hosting, logging, analytics) strictly to operate the Services. They are required to protect the data and use it only for providing services to us.
  • Legal requirements if we must comply with a lawful request or protect our rights/safety.

Database integrity and misuse prevention

We intentionally operate on a query-based model: users submit a product code and we return information about what that code is associated with. We do not provide a public export of all product codes because broad disclosure could enable misuse (including counterfeiters copying valid codes).

Data retention

We keep data only as long as needed for the purposes described above:

  • Lookup logs may be retained to improve accuracy, detect abuse, and measure performance.
  • Feedback/suggestions may be retained to track fixes, auditing, and database improvements.
  • Technical logs are typically kept for a limited period unless needed for security investigations.

Security

We use reasonable administrative and technical safeguards to protect information. No method of transmission or storage is 100% secure, but we work to prevent unauthorized access and misuse.

Your rights

Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal data, and to object to certain processing. You may also withdraw consent for non-essential cookies where applicable.

Children

The Services are not directed to children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children.

International transfers

Your data may be processed in countries other than where you live (for example, where our hosting providers operate). Where required, we use appropriate safeguards for international transfers.

Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and update the effective date above.
